Privacy policy
How we collect, use, share and protect information — for the families we serve, the caregivers we work with, and visitors to this website.
Selectives Home Care (“Selectives,” “we,” “us”) is a licensed Maryland Residential Service Agency (license number RSA-02896). We are committed to protecting the privacy of the individuals whose information we hold, in line with the federal Health Insurance Portability and Accountability Act (HIPAA) where it applies to our services, the Maryland Confidentiality of Medical Records Act, the Maryland Personal Information Protection Act, and other applicable law.
This policy covers information we collect through this website and in the course of providing home care services across multiple Maryland counties, including Baltimore City and Baltimore, Montgomery, Howard and Prince George’s counties.
1. Information we collect
Client personal information. Name, address, phone number, email address, date of birth, emergency contact information, and similar details needed to arrange and provide care.
Client health-related information. Information necessary to deliver appropriate non-medical home care — for example medical history relevant to daily care, current medications, allergies, mobility and cognitive status, dietary needs, and instructions from the client’s healthcare providers. We collect only what we need to provide the care you have asked for.
Caregiver and job-applicant information. Name and contact details, background-check information as required by Maryland regulations for home care staff, work-authorization and identity verification, work history, résumés, references, certifications and training records.
Information you submit through this website. When you use our Request care, Contact or Careers forms, we collect the information you enter (such as your name, contact details, ZIP code, and the details of your inquiry or application). Form details are processed through Google Apps Script and recorded in Google Sheets. If you choose to upload a résumé, the PDF is sent to our recruitment email with your application.
Text-message (SMS) consent. If you check the SMS-consent box on a form, we will use the mobile number you provide to text you about your inquiry. You can opt out at any time by replying STOP. We do not share your number with third parties for their marketing, and consent to texts is not a condition of receiving care.
Payment and billing information. Insurance or billing information needed to process invoices for care. We accept checks and bank transfers. We do not require a deposit or card on file, and we do not collect payment-card numbers through this website.
Website usage information. Our hosting provider may keep standard server logs (such as IP address, browser type and pages requested) for security and operation. This website does not load third-party advertising or analytics trackers by default, and sets no advertising cookies. The Contact page includes a local schematic map; its Google Maps link opens Google only when you follow it.
2. How we use your information
- To arrange, plan, provide and manage home care services, including writing and updating the plan of care.
- To communicate with clients and families about schedules, updates and service-related matters.
- To coordinate care with a client’s healthcare providers and others involved in their care, with the client’s consent.
- To recruit, screen, train and supervise caregivers, including background checks as required by Maryland law.
- To process invoices and manage billing, including supporting long-term care insurance, Veterans benefits or Medicaid-waiver claims where applicable.
- To comply with Maryland licensing, regulatory and reporting requirements.
- To improve the quality and safety of our services.
3. How we share your information
We do not sell personal information. We share it only as follows:
- With the caregivers assigned to provide care, on a need-to-know basis.
- With healthcare providers and others involved in a client’s care, with the client’s consent.
- With government agencies or legal authorities where required by law, including mandatory reporting obligations.
- With service providers who help us operate — for example our website host, our email provider, the Google services that receive our web-form submissions, and any SMS provider — under agreements that require them to protect the information and use it only for the services they provide to us.
4. HIPAA and Maryland medical-records law
We treat client health-related information as confidential. Where HIPAA applies to our services, we handle protected health information in accordance with the HIPAA Privacy, Security and Breach Notification Rules. We also comply with the Maryland Confidentiality of Medical Records Act, which protects medical information held by health care providers in Maryland.
Regardless of the precise legal classification of a given record, we apply HIPAA-level confidentiality practices across the agency: caregivers and staff are trained on privacy and confidentiality before they begin and on an ongoing basis; information is shared only with those who need it to provide or support care; records are stored securely with access limited to authorized personnel; and client matters are never discussed publicly or on social media.
5. How we protect your information
We use reasonable administrative, physical and technical safeguards designed to protect information from unauthorised access, use or disclosure, consistent with Maryland’s data-protection standards and, where applicable, the HIPAA Security Rule. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
6. Data breaches
If we experience a breach of unsecured personal information, we will notify affected individuals and the relevant authorities as required by the Maryland Personal Information Protection Act, and — where HIPAA applies — in accordance with the HIPAA Breach Notification Rule, including notice to the U.S. Department of Health and Human Services.
7. Your rights
Subject to legal and contractual limits, you may:
- Access the information we hold about you.
- Request corrections to inaccurate or incomplete information.
- Request deletion of your information — noting that as a licensed home care agency we are required to retain certain records for a period set by Maryland law and cannot delete those before that period ends.
- Opt out of marketing communications, and opt out of text messages by replying STOP.
To exercise any of these, contact us using the details in section 13.
8. How long we keep information
We keep client and caregiver records for as long as needed to provide and support care and to meet our legal, licensing, insurance and tax obligations, then dispose of them securely.
9. Cookies and tracking
This website uses only what is needed for the site to work. It does not set advertising cookies or load third-party advertising or analytics trackers by default. You can control cookies through your browser settings. If we add privacy-friendly analytics in future, we will describe it here first.
10. Children’s privacy
Our services and this website are intended for adults. We do not knowingly collect personal information from anyone under 18 through this website.
11. Links to other sites
This website may link to third-party sites (for example a map provider or a benefits organization). We are not responsible for the privacy practices of those sites; please review their own policies.
12. Changes to this policy
We may update this policy to reflect changes in our practices or in the law. We will post the updated policy on this page with a new “last updated” date. Your continued use of our services or this website after a change indicates your acceptance of the updated policy.
